Approve or Return a Project Report

Getting There

There are several ways to find a report that you’re looking for:

  • Email 
    1. If you have your notifications set for the grant type and the "report submitted" or "final report submitted", then you will receive an email with a link to the project when a report is submitted.
  • Find unapproved reports
    1. From the home page, click “Administer Project Reports”. 
    2. You can narrow down by date, project type, and grant year. 
    3. Click “Go” to see results. 
  • Find submitted and approved reports
    1. From the home page, click “Administer Project Reports”. 
    2. Select "Submitted but not approved".
    3. Enter the criteria and click “Go”.
  • Project reports coming due in the next 60 days or past due
    1. From the home page, click “Administer Project Reports”. 
    2. Select a project type and click “Get Reports” to see reports that are either due in the next 60 days or overdue. 
  • Visit a project's page
    1. If there is a submitted report, then the link will say "Pending Review".

Note: Admins can approve the working version of a report without the coordinator submitting it.  

Approve or Return the Report

  1. Go to a project's page.
    • Click “Workflow” to view the actions that have been taken on the report and comments made by the coordinator. 
  2. Under “Report Versions”, click “Pending Review” or "Working Version".

  1. Review the report. 
    • If there are pictures including minors, then they will need to have a Media Release form for each minor. 
    • Make sure the numbers are reasonable. 
      • Example: Subscribers to a newsletter do not count as contacts. 
  2. Scroll back up to click “Go to Approve Report” or  “Go to Return Report”.

If you are approving the report:

  1. Click “Go to Approve Report”.
  2. Enter any comments to be shared with the coordinators. 
  3. Check the box for which type of report this is:
    1. "This satisfies the following reports: date (progress)"
    2. “This is the final report” if it is the final report and not a progress report. 
  4. Select “Do not send notifications” if you don't want to notify the coordinators and other administrators. 
  5. Click “Approve Report”.
  6. Coordinators will receive an email saying that you have approved the report and any comments you submitted if "do not send notifications" is not checked. 

If you are returning the report:

  1. Click “Go to Return Report”.
  2. Enter any comments to be shared with the coordinators. 
  3. Select “Do not send notifications” if you don't want to notify the coordinators and other administrators. 
  4. Click “Return Report”.
  5. Coordinators will receive an email saying that you have returned the report and any comments you submitted if "do not send notifications" is not checked.
